How Sydney Fixed Fare Taxi handles your personal information — under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

At Sydney Fixed Fare Taxi, we are committed to protecting your privacy and handling your personal information responsibly. This policy explains what we collect, how we use it, who we share it with, and the rights you have under Australian privacy law.
1. Information we collect
We may collect the following personal information:
- Name
- Mobile phone number
- Email address
- Pickup and drop-off locations
- Flight details (where provided)
- Booking details and history
- Payment transaction data (token only — no full card number)
- Device and browser information
- IP address
- Cookies and website usage analytics
We do not collect information that is sensitive under the Privacy Act (e.g. health, political, religious, racial) unless you voluntarily provide it in a booking note and it is necessary to fulfil your booking (for example, mobility assistance).
2. How we use information
We use your information to:
- Process and manage bookings
- Verify your identity via SMS verification
- Dispatch drivers and provide the transport service
- Process payments and issue refunds where applicable
- Send booking confirmations, receipts, and operational updates
- Improve our website and services
- Prevent fraud and misuse
- Meet legal obligations (taxation, transport record-keeping, lawful requests)
We will not use your personal information for direct marketing without your express opt-in consent. We do not sell customer information.
3. SMS verification
To reduce fraudulent bookings, we use Twilio Verify to send a one-time SMS verification code during checkout. The code is required before a booking can be created.
Verification attempts may be rate-limited where suspicious or automated activity is detected. We store the verification result (verified / not verified) and the verified token for 60 minutes so you can complete checkout without re-verifying; the OTP itself is not stored.
4. Payment processing
Payments are processed securely by Stripe Payments Australia Pty Ltd under PCI DSS Level 1 compliance standards. We do not store your full credit card number — we receive only a payment token from Stripe.
5. Sharing information
We share limited booking information with the following parties to deliver the service:
- The driver and affiliated taxi operator dispatched to your booking
- Stripe — payment processing
- Resend — booking confirmation emails
- Twilio — SMS verification
- Website and infrastructure providers (Cloudinary CDN, our hosting)
- Our sister brand Lux Move Chauffeurs — only if you accept the complimentary hire-car upgrade offered at the booking confirmation step (Terms §8)
- Google — Analytics
- Meta — conversion tracking via Meta Pixel
- NSW Police, the ATO, or other government authorities where required by law
We do not sell customer information.
6. Cookies & analytics
Our website uses cookies and analytics technologies to:
- Support core booking functionality (essential cookies)
- Monitor website performance and traffic (Google Analytics 4 — measurement ID
G-NR7B9FXPZ4) - Measure ad conversions (Meta Pixel)
- Improve user experience

7. Overseas data transfers
Some of our service providers operate from outside Australia. Your personal information may be transferred to and processed in the United States and other jurisdictions, including by:
- Stripe (Australia, with US infrastructure)
- Resend (United States)
- Twilio (United States)
- Google (United States and other regions)
- Meta (United States, Ireland, and other regions)
- Cloudinary (United States)
We take reasonable steps to use providers that handle personal information consistently with the Australian Privacy Principles.
8. Data retention
- Booking records — retained for 7 years to meet Australian tax and transport record-keeping obligations.
- SMS verification tokens — deleted after 60 minutes.
- Webhook and operational logs — retained for 12 months.
- Analytics cookies — per Google Analytics defaults; typically 2–14 months.
- Email correspondence — retained until you request deletion.
9. Data security
We take reasonable measures to protect customer information from unauthorised access, misuse, loss, and disclosure:
- The website is served over HTTPS with TLS encryption.
- Payment card details are held by Stripe under PCI DSS Level 1 compliance — we never see your full card number.
- Operational dashboards are protected by strong passwords and multi-factor authentication.
- The booking database is stored on hosting infrastructure with restricted access.
No internet-based system is completely secure. If we become aware of a data breach affecting your personal information, we will notify you and the Office of the Australian Information Commissioner (OAIC) in line with the Notifiable Data Breaches scheme.
10. Access & correction
Under the Australian Privacy Principles you have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or out of date
- Request deletion of your information (subject to our 7-year transport and tax record-keeping obligation for booking records)
- Withdraw consent for any optional processing
To exercise any of these rights, email bookings@sydneyfixedfaretaxi.com from the email address on file. We respond to verified requests within 30 days as required by the Privacy Act.
11. Third-party links
Our website may contain links to third-party websites (for example, Stripe's payment page, our regulator's website). We are not responsible for the privacy practices of those third parties. Please review their privacy policies separately.
12. Complaints — OAIC
If you believe we have mishandled your personal information, please contact us first at bookings@sydneyfixedfaretaxi.com. We acknowledge within one business day and aim to resolve within 30 days.
If your complaint is not resolved to your satisfaction, you may escalate to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or call 1300 363 992.
